Evidence and receipts

A decision you can defend six weeks later.

Revenue decisions are questioned long after they are made—by a partner, a finance review, or by the person who made them. RevenuePilot records the evidence at the moment of the decision, so the answer is retrievable instead of reconstructed.

  • Receipt on every recommendation
  • Append-only audit trail
  • Read-back verified writes
What a decision receipt carries
  • 01
The signalThe source snapshot the decision was derived from.
  • 02
The economicsThe cost and commission arithmetic that was applied.
  • 03
The uncertaintyConfidence and the gaps that remained in the evidence.
  • 04
The boundaryThe policy limit that shaped or blocked the move.
Anatomy of a receipt

Six elements, recorded together, at the moment of the decision

A receipt is not a log line written after the fact. It is assembled as the recommendation is produced, so the evidence and the decision cannot drift apart.

Elements recorded in every decision receipt
Receipt elementWhat it recordsThe question it answers
Signal and source snapshotThe reconciled source state the decision was derived fromWhat did we actually see
Economics usedThe variable cost and commission arithmetic appliedHow was the impact calculated
UncertaintyThe confidence and the gaps that remained in the evidenceHow sure were we
Policy boundaryThe guardrail that shaped, capped or blocked the moveWhy not further
Operator action requiredThe specific action put in front of a personWhat were we asked to do
OutcomeWhat happened to the recommendation afterwardsWhat did we do, and what followed
The audit trail

Append-only, attributable, and separate from the working data

Evidence that can be edited is not evidence. The audit trail is written once and never rewritten, and every entry names an actor as well as an action.

Append-only by construction

History accumulates instead of being corrected

Entries are added, never amended in place. A later correction is recorded as its own entry alongside the original, so the sequence of what was known and when remains readable.

  • No in-place edits to recorded history
  • Corrections are appended, not substituted
  • The original decision remains retrievable
Who, what, when

Every sensitive action is attributable

Approvals, policy changes, connector work and execution attempts record the acting identity and the time, so a review does not depend on anyone remembering who pressed the control.

  • Actor recorded on every sensitive mutation
  • Approvals distinguished from automated steps
  • Generation cycles recorded alongside operator actions
Tenant-scoped

Evidence stays inside the workspace that produced it

Audit and receipt data is tenant-scoped behind forced PostgreSQL row-level security, so isolation is enforced by the database rather than by a filter someone might forget to write.

  • Forced row-level security on tenant data
  • Scoping enforced below the application layer
  • Stored credentials are never returned after storage
Execution evidence

What is recorded when a change is actually applied

Where a certified connector and explicit approvals exist, execution produces its own evidence chain. Each step below has to succeed before the next one is attempted.

  1. Check the expected version

The write is fenced against the price version it was calculated from. If the value changed underneath us, the write is refused rather than overwriting someone else's change.

  2. Apply idempotently

Every write is keyed so that a retry or a replay cannot apply the same change twice. A repeated attempt resolves to the original result instead of compounding it.

  3. Read the value back

The applied value is verified against both the machine read and the public quote. Agreement between the two is what counts as applied—not the fact that a request returned successfully.

  4. Seal the receipt

The attempt, the actor, the verification result and the resulting state are sealed into a downloadable receipt attached to the decision it came from.

  5. Compensate or lock on mismatch

A verification mismatch triggers version-fenced rollback. If the rollback itself fails, the system locks writes for the whole organization rather than continuing in an unknown state.

Honest gaps

Uncertainty is displayed, not smoothed over

The most damaging thing a revenue system can do is present a confident number built on a default value. RevenuePilot separates what is missing from what is zero.

Withheld
Recommendation state when required evidence is incomplete
Flagged
How partial variable-cost coverage is surfaced, never assumed
Append-only
Write mode for the audit trail
Attributable
Every sensitive action carries an actor and a timestamp
Portability

Take the evidence with you

Evidence held only inside a vendor interface is fragile. Both export paths below produce data you keep, with secrets deliberately excluded.

Audit CSV export

The audit trail as a file you can open in a spreadsheet or hand to a reviewer. Server-entitled to the Growth and Scale plans.

  • Available on Growth and Scale
  • Entitlement checked server-side
  • Suited to periodic review

Organization JSON export

An owner-only export of the workspace, protected by TOTP step-up, for portability and for lifecycle events such as an export-only wind-down.

  • Owner-only
  • TOTP step-up required
  • Covers workspace portability

Deliberate exclusions

Exports omit connector credential ciphertext, ingestion-key hashes and raw imported objects. Portability should not become a second copy of your secrets.

  • No credential ciphertext
  • No ingestion-key hashes
  • No raw import objects
Measurement honesty

Estimated, executed, verified and realized are four different things

Collapsing these into a single headline number is how revenue tools produce results nobody can reproduce. They are kept separate throughout.

How value is described at each stage
ValueWhat it representsWhat it does not prove
EstimatedThe modelled impact of a proposed decisionThat the change was made or accepted
ExecutedA change that was applied through the execution pathThat the applied value was confirmed downstream
VerifiedAn applied change confirmed by machine and public read-backThat margin moved as a result
RealizedMeasured outcome against an approved controlAnything, without that control in place
Common questions

What operators ask about the evidence trail

Can a receipt be edited or removed after the fact?

No. The audit trail is append-only. A correction is recorded as a new entry beside the original rather than replacing it, so the sequence of what was known and when stays intact.

What proves a price change actually took effect?

Read-back verification. The applied value is checked against both the machine read and the public quote, and the receipt records that result. A request returning successfully is not treated as proof on its own.

What happens when cost coverage is incomplete?

The gap is shown rather than filled. Missing variable cost or unreconciled source data is flagged and the affected recommendation is withheld, instead of being ranked on arithmetic built from a default value.

Can I get the evidence out of the product?

Yes. Audit CSV export is entitled to the Growth and Scale plans, and an owner-only, TOTP-protected organization JSON export covers portability. Both exclude connector credentials, key hashes and raw import objects.

FOUNDING OPERATOR PROGRAM

Ask the harder question: can you defend it later.

Evaluate the evidence trail on a scoped portfolio, in advisory mode, before any connector is certified for writes.
